The short version
The main points in a minute. The full terms below are what count, so please read them too.
These terms are an agreement between your salon and Stocktend, which is run by Ian Magee, a sole trader in London. By setting up or using Stocktend, you agree to them.
Stocktend is a stock app for salons, for business use. Everyone who uses it must be 18 or over.
It costs £8.99 a month or £90 a year. Every new salon gets a 2-month free trial. When you subscribe, you pay through the App Store or Google Play, and you can cancel any time in your phone’s subscription settings.
Your salon’s data belongs to your salon. We look after it for you, and you can export it or delete your account at any time.
If you say yes when the app asks, Claude, an AI, reads photos of delivery notes and products. Nothing changes your stock until someone in your salon checks it and confirms it, because reads can be wrong.
We aim to keep Stocktend running smoothly, but we can’t promise it will never go down. If something goes wrong, our liability is limited.
Questions? Email support@stocktend.com.
Who we are
Stocktend is a trading name of Ian Magee, a sole trader based in London, United Kingdom. In these terms, “Stocktend”, “we”, “us” and “our” mean Ian Magee trading as Stocktend.
“You” and “your salon” mean the salon business that uses Stocktend. Where a sentence is about one person, such as a team member, it says so.
What these terms cover
- The Stocktend apps for iPhone and Android, and Stocktend in a web browser at app.stocktend.com. In these terms, we call all of them “the app”.
- This website. Using it is free, and the parts of these terms about fair use, our liability and the law apply to it too.
How we handle personal data is explained in our privacy policy. Where we look after personal data for your salon, the data processing terms below apply, and they are part of these terms.
To contact us, email support@stocktend.com. For anything about personal data, email privacy@stocktend.com.
Who can use Stocktend
- Stocktend is made for hair salons and their teams. It is for business use only, not for personal or household use.
- Everyone who uses Stocktend must be 18 or over.
- The person who sets up a salon in Stocktend accepts these terms for the salon. By doing so, they confirm they are allowed to make agreements for it.
- Team members use Stocktend under their salon’s agreement. They must follow section 3 and section 8, and their salon is responsible for them.
- Each salon has one owner. At first, that is the person who set it up.
Your account and your team
Each person in your salon has their own login. Keep your sign-in details to yourself, and tell us straight away at support@stocktend.com if you think someone else has used your account.
Inviting your team
Anyone in your salon can share your salon’s invite link or make a new one, and anyone who opens the link joins your salon straight away. Everyone in your salon can see and change your stock, and some changes can’t be undone. The owner decides who can see your salon’s documents.
Your salon, through its owner, is responsible for who joins it and for what its team does in Stocktend. In particular:
- Only share the invite link with people you want in your salon. If it reaches the wrong person, make a new link in the app. The old one then stops working.
- Stocktend records which team member made each stock change, and when. It shows each person’s activity to the owner and, unless the owner turns this off, to the rest of the team. Your salon is responsible for telling its team about this. Our privacy policy explains who can see it.
- If someone should no longer have access, make a new invite link and email us, and we will remove them from your salon.
- The owner can make another team member the owner, in the app. The new owner then takes on the owner’s part in these terms. Your subscription is billed to the person who bought it, through their Apple or Google account. If that person leaves the salon, they should cancel it in their phone’s settings, and someone still in the salon should subscribe in the app.
Your subscription
One subscription covers one salon and its team. There are two ways to pay:
£8.99
a month
£90
a year 2 months free
Every new salon gets a 2-month free trial from the day the salon is set up. Nothing is charged until you subscribe.
The price you see in the App Store or Google Play is the price you pay, including VAT. If you run more than one salon, talk to us first.
Your free trial
Your 2 free months start on the day your salon is set up in Stocktend, and you pay nothing for them. To keep using Stocktend after they end, subscribe in the app. Nothing is charged until you subscribe.
Codes from other salons
A code from another salon adds 2 free months to your salon’s free time. The salon that gave you the code gets 2 more months too, once your salon makes its first stock change or confirms its first delivery. Each salon can use one code, and not its own. Free months have no cash value, and they don’t change a subscription you already pay for through Apple or Google. We may end this scheme with notice, but months already earned stay.
How you pay
- You subscribe in the app. The payment is taken by Apple, through the App Store, or by Google, through Google Play, as an in-app subscription under their terms. We never see your card details.
- On Android, you will be able to subscribe through Google Play before your free months end.
- Your subscription renews automatically at the end of each month or year, and Apple or Google charges you for the next one, until you cancel.
Cancelling
- You can cancel at any time in your phone’s subscription settings. On iPhone, open Settings, tap your name, then Subscriptions. On Android, open the Google Play app, tap your profile picture, then Payments and subscriptions.
- Cancelling stops the next renewal. You keep Stocktend until the end of the month or year you have already paid for. To avoid the next charge, cancel before the current period ends. Apple asks you to cancel at least 24 hours before.
- Deleting the app, or your Stocktend account, does not cancel your subscription. Cancel it in your phone’s settings as well.
Refunds
Because Apple and Google take the payment, refunds are handled by them, under their own refund policies. If you think you have been charged by mistake, ask Apple or Google, and tell us at support@stocktend.com so we can help. Nothing in these terms takes away any right to a refund you have by law.
Price changes
We may change our prices. If we do, we will tell you at least 30 days before the new price applies to you. A new price only starts from your next renewal, never part way through a month or year you have already paid for. Apple or Google may also ask you to agree to a higher price before it applies. If you don’t want to pay the new price, cancel before your next renewal.
If your subscription ends
If your salon’s free months or subscription end and it doesn’t subscribe again, we may limit your salon’s use of Stocktend until it does. We keep your salon’s data for 90 days, so your salon can come back. We email the owner before anything is removed, and then delete your salon’s data, unless you ask us to return it. Copies in our backups are gone within 35 days after that. If you need a copy of your salon’s data, ask us at support@stocktend.com.
Your salon’s data
It belongs to your salon
Your salon’s data means everything your salon puts into Stocktend: products, photos, barcodes, stock counts and history, deliveries, delivery notes and invoices, documents, suppliers, orders and settings. It belongs to your salon, not to us.
Your salon gives us permission to store, copy, read and show it only so we can run Stocktend for your salon, keep it safe, fix problems, and do what these terms and our privacy policy describe. We don’t sell your salon’s data, and there are no ads in Stocktend.
We may use aggregated and anonymised data, which doesn’t identify anyone or any salon, to run and improve Stocktend.
Your salon is responsible for what it puts into Stocktend, and for having the right to put it there.
The shared product list
When someone in a salon confirms which product a barcode belongs to, we add the barcode and the product’s details (brand, range, shade, size, name and supplier code) to a shared list. It helps every salon using Stocktend recognise that barcode. The list is about products, not people, and it doesn’t record which salon added an entry. Your salon agrees that we can keep and use these product details, including after it stops using Stocktend. Please don’t type people’s names into product names.
What belongs to us
The app, its design and software, and the Stocktend name and logo belong to us or to the people we license them from. While these terms apply, we give your salon the right to use the app for its business. Your salon can’t sell or pass on that right, and it doesn’t make your salon the owner of anything in the app.
If you send us ideas or feedback, we may use them to improve Stocktend without owing you anything for them.
Data processing terms
Your salon’s records include personal data, such as team members’ names and the supplier contacts on delivery notes. This section is the agreement UK and EU data protection law require between your salon and us for that data.
For the personal data in your salon’s records, your salon is the controller and we are its processor: we handle it only on your salon’s behalf. This section sets out the terms required by Article 28 of the UK GDPR and the EU GDPR, and it is part of these terms. For other personal data, such as your login and how the app is used, we are the controller, as our privacy policy explains.
The details
| Detail | What it covers |
|---|---|
| Subject matter | The personal data in your salon’s records that we handle to provide Stocktend to your salon. |
| Duration | As long as your salon uses Stocktend, and then until the data is deleted or returned, as described under “At the end” below. |
| Nature and purpose | Storing, organising, reading, showing, exporting and deleting your salon’s records, including reading delivery notes and photos, so that your salon can keep track of its stock. Showing each team member’s stock activity to the owner and, unless the owner turns this off, to the rest of the team. Keeping backups with our hosting provider, Railway, so records can be restored if something goes wrong. Backups are deleted automatically within 35 days. |
| Types of personal data | Team members’ names and roles, and which team member made each stock change and when. Supplier contact details your salon adds (email address and phone number, which may be a named rep’s), and your salon’s account number with each supplier. Your salon’s delivery address and delivery contact. Anything else that appears on the delivery notes, invoices, documents and photos your salon adds, such as a name or a signature. |
| People it is about | Your salon’s owner and team. Your suppliers’ staff, reps and drivers. Anyone else named or shown in what your salon adds. |
Please don’t add
Stocktend isn’t designed for your clients’ details, or for sensitive information such as allergy or patch test records. Please keep them out of it.
Your salon’s part
Your salon decides what personal data goes into Stocktend, and must have a lawful reason for it. It must tell its team, and anyone else whose details it adds, such as suppliers’ reps, what it does with that data. That includes telling its team that Stocktend records who made each stock change and shows each person’s activity to the owner. Your salon can give us further instructions by email, and can use the rights in this section.
What we promise your salon
- Instructions. We handle your salon’s personal data only on your salon’s instructions. These terms, and the way your salon uses and sets up the app, are those instructions. If the law requires us to do something else, we will tell your salon first, unless the law forbids it. If we think an instruction breaks data protection law, we will tell your salon.
- Confidentiality. Only Stocktend (Ian Magee) can access your salon’s records: to run Stocktend, to fix problems, and when your salon asks for help. Anyone we allow to handle your salon’s personal data is bound to keep it confidential.
- Security. We take appropriate technical and organisational measures to protect it, as UK and EU data protection law require. Our privacy policy describes them under How we keep it safe.
- Sub-processors. Your salon allows us to use the service providers listed in our privacy policy under Who we share it with, such as the company that runs our servers, and Claude. Each one must be bound by a written contract that protects your salon’s data at least as well as these terms, and we stay responsible to your salon for what they do. We will tell salon owners at least 14 days before we add or replace one, so your salon can object. If your salon objects and we can’t resolve it, your salon can stop using Stocktend.
- Outside the UK and the EU. Your salon’s records are stored in the United States, with Railway in California, and some of our other providers are in the United States too. We only send your salon’s personal data outside the UK and the EU with the safeguards UK and EU data protection law require, as our privacy policy explains under Sending data outside the UK and EU.
- Requests from people. If someone asks to see, correct or delete personal data in your salon’s records, we will help your salon answer, as far as we reasonably can. If they ask us directly, we will pass the request to your salon.
- Breaches and other help. We will tell your salon without undue delay if we become aware of a personal data breach affecting its data. We will also help your salon meet its own duties, such as reporting a breach to the Information Commissioner’s Office (ICO) or another data protection authority, assessing the data protection risks of new uses, and consulting the authority.
- At the end. When your salon stops using Stocktend, it can export its data first (see Export and deletion). We then delete your salon’s personal data, or return it if your salon asks, unless the law requires us to keep it. Your salon stops using Stocktend when the last person in it deletes their account, or when it hasn’t subscribed again for 90 days after its free months or subscription end, as section 4 describes. Copies in our backups are gone within 35 days after that. Our privacy policy has more under How long we keep it.
- Audits. We will give your salon the information it needs to check that we keep these promises, and allow and contribute to audits, including inspections, by your salon or an auditor it chooses. An audit starts with a review of the information we provide. Inspections are on 30 days’ notice, during working hours and at your salon’s cost, and no more than once a year unless there has been a breach. We ask that the auditor keeps what they see confidential.
Reading invoices and photos
Stocktend reads delivery notes, invoices and product photos, so you don’t have to type every line.
- Text PDFs are read by our own reader. It follows fixed rules and doesn’t use AI.
- Photos of delivery notes and invoices, and PDFs our reader can’t read well, are read by Claude, an AI.
- Claude also reads the name and size from product photos. When you snap a product Stocktend doesn’t recognise, Claude suggests which one it is, matching it only against your salon’s own product list.
We ask first
Reading with AI is part of how Stocktend works. Before your first photo is read, the app shows you how Stocktend uses AI, and by continuing you agree to it. If you would rather a particular note is not read by AI, type the details in yourself instead of adding a photo. Your salon agrees, in section 6, that Claude, made by Anthropic, can read files for it. Our privacy policy explains what Claude receives.
You check before your stock changes
Nothing is added to your stock until someone in your salon checks it and confirms it. Our reader and Claude can both get things wrong: a quantity, a price or a product, or a line missed. We don’t promise that every read is correct, so check each line against the delivery before you confirm. Once you confirm, the change is your salon’s, and you can correct a stock count at any time.
Your suppliers
Stocktend is not a supplier and doesn’t sell products. Anything your salon orders or buys from a supplier is between your salon and that supplier.
Using Stocktend fairly
Please use Stocktend for what it is for: keeping track of your salon’s stock. You must not:
- break the law with it, or use it for anything fraudulent or harmful
- upload anything you don’t have the right to upload, or anything that contains viruses or other harmful code
- try to get into another salon’s data, or any part of Stocktend you aren’t meant to reach
- test or probe Stocktend’s security without our written permission. If you find a security problem, please tell us at support@stocktend.com
- copy, change, take apart or reverse engineer the app, except where the law allows it
- sell, rent or give access to Stocktend to people outside your salon
- overload Stocktend or interfere with how it works, including with bots, scrapers or other automated tools
- send photos or files to be read that have nothing to do with your salon’s stock
- add false product details to the shared product list on purpose
- put offensive or abusive content into Stocktend, or use it to harass anyone.
If someone breaks these rules, we may act as described in Suspending or ending.
Availability and changes
We aim to keep Stocktend running smoothly, but we can’t promise it will always be available or free of errors. It may be unavailable at times, for example while we update it, or when a service we rely on has a problem.
Stocktend keeps changing as we improve it, so we may add, change or remove features. If we remove a feature that is a main part of what your salon pays for, we will tell salon owners before we do, where we reasonably can, and your salon can cancel. If this happens part way through a year you have paid for, on Android we will refund the unused months where Google Play lets us. On iPhone, Apple makes refunds, so we will support your request to Apple for the unused months.
Some features may be marked as new, early or beta. They may not work perfectly, and they may change or be withdrawn.
To keep using Stocktend, you may need to install the latest version of the app and keep your phone’s software up to date.
Export and deletion
Export your data
You can download your salon’s data at any time, at no extra cost. In the app, go to Settings › Help › Export your data to download your current stock and your stock history as CSV files, which open in Excel, Numbers or Google Sheets. For anything else, such as your files and photos, ask us at support@stocktend.com.
Delete your account
You can delete your account yourself, in the app: Settings › Account › Delete my account. It happens straight away and can’t be undone, so export anything you want to keep first. Your account and your personal details are deleted, and copies in our backups are gone within 35 days.
- If you are the only person in your salon, your login and the salon, with everything in it, are deleted.
- If others still use the salon, only your login goes. The salon’s records stay with them, and what you scanned stays in its history without your name.
- If you own a salon that others still use, make one of them the owner first. The app shows you how.
If you can’t get into the app, email support@stocktend.com from the address you sign in with, with the subject “Delete my account”, and we will delete it within 30 days. Our support page and our privacy policy explain what is deleted and what stays.
Good to know
Deleting your account doesn’t cancel your subscription with Apple or Google. Cancel it in your phone’s settings too.
Suspending or ending
You can leave at any time
Cancel your subscription in your phone’s settings, and delete your account in the app.
When we may suspend or end access
We may suspend or end your salon’s access to Stocktend, or one person’s access, if:
- your salon, or someone in it, seriously or repeatedly breaks these terms
- your subscription isn’t paid
- we have to, to comply with the law, or with an order from a court or a regulator
- we need to, to protect Stocktend, other salons or anyone’s data, for example after a security problem.
Unless it is urgent, or the law prevents us, we will tell the salon owner why first, and give them a reasonable chance to put things right.
If we stop offering Stocktend
If we decide to stop offering Stocktend, we will tell salon owners at least 30 days before, so you have time to export your data and cancel your subscription. If this happens part way through a year you have paid for, on Android we will refund the unused months where Google Play lets us. On iPhone, Apple makes refunds, so we will support your request to Apple for the unused months.
What happens at the end
When your salon’s access ends, its right to use the app ends too. We handle your salon’s data as the data processing terms and our privacy policy describe. The parts of these terms that are meant to continue, such as Our liability and Law and disputes, still apply.
Our liability
This section limits what we are responsible for if something goes wrong. Please read it carefully.
What we never limit
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that the law of England and Wales doesn’t allow us to limit or exclude.
What we are not liable for
Apart from that, we are not liable for:
- indirect or consequential loss
- loss of profits, income or business
- loss caused by events outside our reasonable control, such as a failure of the internet, or of the App Store or Google Play. This does not cover how our service providers handle your salon’s personal data: we stay responsible for that, as section 6 says.
Stocktend helps you keep track of stock, but your salon makes its own decisions about what to order, use and sell.
The most we will pay
Our total liability to your salon, for all claims arising from these terms or Stocktend, is limited to the greater of £100 and the total your salon was charged for Stocktend by Apple or Google in the 12 months before the claim arose.
These limits apply whether a claim is for breach of contract, negligence or anything else.
Apple and Google
These terms are between your salon and us. Apple and Google are not part of them, and they are not responsible for Stocktend, its content or its support. Questions, complaints and claims about Stocktend come to us.
On iPhone
If you use Stocktend on iPhone, Apple’s standard Licensed Application End User License Agreement also applies to your use of the app. Apple has no obligation to maintain or support Stocktend, and Apple and its subsidiaries can enforce that agreement. Paying for your subscription is also covered by Apple’s Media Services Terms and Conditions.
On Android
If you use Stocktend on Android, the Google Play Terms of Service also apply to downloading the app and paying for your subscription. Google has no obligation to maintain or support Stocktend.
If they differ
If these terms and Apple’s standard agreement or Google’s terms differ, these terms apply between your salon and us. Apple’s and Google’s rights under their own terms are not affected.
Changes to these terms
We may update these terms, for example when Stocktend changes or the law does. The date at the top shows when they last changed.
If a change matters to your salon, we will tell salon owners at least 30 days before it takes effect, in the app or by email. Changes needed for legal or security reasons may take effect sooner. If you don’t agree with a change, you can cancel and delete your account before it takes effect. If you keep using Stocktend after that, the new terms apply.
Law and disputes
These terms are governed by the law of England and Wales. If you have a problem, please talk to us first at support@stocktend.com, and we will try to sort it out. If we can’t, the courts of England and Wales will decide, and only they can.
The small print
- These terms, with the documents they mention, are the whole agreement between your salon and us about Stocktend.
- If a court decides that part of these terms can’t be enforced, the rest still applies.
- If we don’t enforce a right straight away, we can still enforce it later.
- Your salon can’t transfer its rights under these terms to anyone else without our agreement. We may transfer ours to another business, for example if Stocktend becomes a company. We will tell you if we do, and it won’t reduce your salon’s rights under these terms.
- Nobody other than your salon and us can enforce these terms, except that Apple and its subsidiaries can enforce section 13 as third-party beneficiaries.
